Regulations of the 21st International Conference on Defects Recognition,
Imaging and Physics in Semiconductors “DRIP 21”
§1. General Provisions

These Regulations set forth the terms and conditions governing the
participation in the 21st International Conference on Defects
Recognition, Imaging and Physics in Semiconductors, hereinafter referred
to as “the Conference.”

The Conference shall be held from 30 August to 3 September 2026 at the
Institute of Physics of the Polish Academy of Sciences, located at 32/46
Al. Lotników, 02-668 Warsaw, Poland, selected in accordance with the
applicable public procurement procedures (currently in progress).

The entity responsible for organizing and conducting the Conference
(hereinafter referred to as “the Organizer”) shall be the Institute of
High Pressure Physics of the Polish Academy of Sciences, whose

Any individual who has duly registered via the official Conference
Registration System shall hereinafter be referred to as “the
Participant.”
- The official language of the Conference shall be English.
§2. Participation in the Conference
- Participation in the Conference shall be voluntary.

Only individuals who have duly registered through the Online Abstract
Submission and Registration System (hereinafter referred to as “the
Registration System”) shall be entitled to participate in the
Conference.

Participation in the Conference entitles the Participant to present and
publish their research results in accordance with the terms and
conditions set forth in §6 and §7 of these Regulations.

Participants requiring a visa to enter the Republic of Poland are kindly
requested to contact the Conference Secretary to obtain an official
Invitation Letter.

The Conference registration is available exclusively through the online
Registration System. Participation is subject to timely payment of the
registration fee and submission of the required registration data. The
Conference is organized within the territory of the Republic of Poland,
and participation requires access to the Internet and an active e-mail
account. In accordance with applicable European Union sanctions,
registration and participation in the Conference are not permitted for
individuals or institutions based in the Russian Federation or the
Republic of Belarus.
§3. Registration

By completing the registration process through the Online Abstract
Submission and Registration System, the Participant hereby consents to
the collection, storage, and processing of personal data provided in the
registration form by the Organizer, for the purposes of organizing and
conducting the Conference. Detailed information regarding the scope and
use of personal data is available under the Privacy Policy section on
the official Conference website. The Organizer acts as the data
controller within the meaning of applicable data protection regulations.

Participation in the Conference shall be possible only upon successful
registration. Detailed information regarding participation types,
registration fees, and related entitlements is provided in §4 and under
the Registration Fees section on the Conference website.

A Participant may cancel their registration by notifying the Organizer
via e-mail, unless the registration fee has already been paid. If the
registration fee has been paid, the provisions of the Cancellation
Policy referred to in §4 shall apply.
- The registration process shall commence on TBA.
§4. Registration Fees

Each person wishing to participate in the Conference shall be required
to pay the applicable registration fee in accordance with the fee
schedule and the terms specified by the Organizer.

The registration fee covers participation in all Conference sessions and
events, conference materials, social functions, and conference
proceedings.

The Participant shall pay the registration fee in euro (EUR) via the
PayU payment system or by traditional bank transfer (bank account
details to be announced on the Conference website), using the payment
methods available within those systems. All transaction and bank charges
shall be borne by the payer.

The payment should be made by TBA. Failure to pay the registration fee
by this date may result in the Participant being subject to a higher
(Late) fee category, or removal from the list of Conference Participants.
The Organizer reserves the right to cancel the registration if payment
is not received within this period.

The registration fee may be refunded if a written resignation is
submitted to the Organizer by e-mail no later than TBA. The refunded
amount may be reduced by any applicable bank charges or handling fees.

After TBA, the registration fee shall not be refunded, except in
justified cases approved by the Organizer, where only a partial refund
may be granted.
Complaints regarding payments made via the PayU payment system may be
submitted by e-mail to the Organizer at
info@drip21.pl. Each complaint shall
be reviewed within 14 business days of receipt, and the Participant shall
be informed of the outcome by e-mail.
§5. Invoice
- A Participant requiring a pro forma invoice shall submit a corresponding request to the Organizer.
- Upon the Participant’s request, an electronic version of the invoice may be sent to the e-mail address provided during the registration process.
- A paper version of the invoice shall be available for collection by each Participant at the Conference Office during the Conference, provided that a request for such an invoice has been submitted to the Organizer in advance.
§6. Abstracts and Conference Materials
- All abstracts shall be submitted exclusively through the Online Abstract Submission and Registration System.
- In order to correctly submit an abstract, the required fields in the Conference system must be duly completed, and a PDF file of the abstract, prepared in accordance with the official template available under the Abstracts section on the Conference website, shall be attached.
- During the submission process, the Participant may indicate the preferred form of presentation (oral or poster). The final decision regarding the form of presentation shall be made by the Program Committee.
- Abstracts accepted for presentation at the Conference shall be published in the Book of Abstracts and included in the Conference materials available on the official Conference website.
- Each published abstract shall include the following information: authors’ names, authors’ affiliations, the corresponding author’s name and e-mail address, as well as any acknowledgements provided by the authors.
§7. The Conference Program
- The detailed Conference Program shall include the names and surnames of the authors and co-authors, their institutional affiliations, as well as the title of the lecture or poster presentation.
- The final version of the Conference Program shall be made available under the Program section on the official Conference website no later than one week prior to the commencement of the Conference.
- In the event that a Participant does not attend the Conference, their name shall be removed from the Conference Program and all Conference materials published on the website.
§8. Conference Logo Design Contest
- The Organizer announces a Conference Logo Design Contest aimed at selecting the official logo for the 21st International Conference on Defects Recognition, Imaging and Physics in Semiconductors “DRIP 21”. The winning logo may be used as the official emblem of the 21st edition of the Conference as well as in subsequent editions of the DRIP Conference.
- Participation in the Contest is voluntary and open to all individuals who submit an original logo design personally created by the Participant.
- Each Participant may submit one (1) logo proposal, prepared in digital form in accordance with the technical requirements published on the Conference website.
- Logo submissions shall be sent electronically to logo@drip21.pl no later than TBA.
- The submitted logo must be provided in a high-resolution vector format (e.g., SVG, EPS, or AI) to ensure scalability and technical usability. By submitting the design, the Participant agrees that the logo may be adapted or modified by the Organizers of the current or future editions of the Conference for consistency or branding purposes.
- By submitting a logo design, the Participant declares and guarantees that the submitted work constitutes their original creation, free of any third-party rights, and that it has not been previously published or used in any other competition or for commercial purposes.
- Upon selection of the winning design, the Participant irrevocably transfers to the Conference Organizing Committee, without territorial or time limitations, all economic copyrights to the winning logo, including, in particular, the rights to reproduce, distribute, modify, publish, and use the logo in any form or medium, in connection with the Conference and its promotional, informational, or archival activities.
- The transfer of the aforementioned rights shall occur without additional remuneration, apart from the prize referred to in paragraph 9, and shall become effective upon written confirmation of the selection by the Organizer.
- The author of the winning logo shall receive a prize to be determined by the Organizer and a certificate of recognition. The Organizer reserves the right to grant additional distinctions or honorable mentions without financial compensation.
- The Organizer reserves the right not to select a winning design if none of the submitted proposals meets the aesthetic, technical, or conceptual requirements of the Conference Organizing Committee.
- By participating in the Contest, the Participant fully accepts all terms and conditions set forth in this section of the Regulations.

§10. Final Provisions
- The Organizer reserves the right to amend or supplement the provisions of these Regulations at any time, both prior to and after the conclusion of the Conference.
- Any changes to the Regulations shall become effective upon their publication on the official Conference website.
- In matters not regulated herein, the relevant provisions of Polish law shall apply.
- In the event of any discrepancies in interpretation, the Polish version of these Regulations shall prevail.
